Lodging-capacity comparison: how many people can actually stay on-site?

Important: These numbers describe published physical inventory, not rooms guaranteed to your wedding. Ask for a room-by-room allocation exhibit showing the unit name, bed type, maximum occupancy, rate, tax, deposit, release date and financially responsible party.

Price-level key: $$$ indicates a premium property with a published entry offering or site fee but substantial custom costs; $$$$ indicates a luxury resort or estate whose complete wedding price requires a custom proposal. The symbols are editorial planning shorthand, not venue quotes or affordability judgments.

Three practical Oregon wine-country wedding-weekend formats

The schedules below are planning models, not venue-approved programs. Every meal, gathering, access time and location must appear in the final contract.

The logistics that make—or break—an on-site wine-country weekend

Parking and guest flow

Ask every venue for one marked site plan showing guest parking, accessible parking, valet queue, shuttle loading, rideshare pickup, vendor loading, catering service, emergency access, restrooms and the walking route between each event. A beautiful aerial map without operational zones is not a transportation plan.

Build the parking plan from RSVP responses. Collect where each household is staying, whether it will drive or ride the shuttle, mobility needs, child-seat needs and planned departure time. That information is more useful than estimating vehicles from the guest count.

Keep guest movement directional. Ideally, guests move from arrival to ceremony, cocktails, dinner, dancing and departure without crossing a loading dock, room-reset path or active portrait location. Use lighting, signs and one informed human at every decision point after dark.

Check-in, luggage and getting-ready space

All four properties have a standard check-in at 3:00 or 4:00 p.m. That is incompatible with most wedding-day preparation schedules unless the preparation lodging is reserved the prior night or an early-access event room is contracted.

Before assigning a guest room as a preparation suite, confirm:

• how many non-registered visitors may enter;
• whether professional hair, makeup, photo and video teams are permitted;
• the number and placement of outlets, mirrors and windows;
• ventilation, temperature control and food delivery;
• garment-rack, steamer and refrigerator access;
• whether furniture may be moved;
• the cleanup deadline and who removes beauty-team waste.

For Sunday, decide where bags go before brunch. An 11:00 a.m. checkout followed by an 11:00 a.m. brunch produces a lobby full of luggage unless the venue agrees to late checkout, staged luggage pickup or a staffed holding room.

Shuttle and photo logistics

Separate the guest shuttle plan from the couple and creative-team movement plan. The couple should not wait for a 40-passenger shuttle to return from a hotel before sunset portraits. Reserve a dedicated vehicle or confirm that every portrait location is practically walkable in formal clothing.

For off-site guests, centralize lodging whenever possible. One primary hotel block with repeatable loops is easier to communicate and dispatch than three small properties on different roads. Put the exact venue name, loading entrance and departure times in the guest itinerary; do not rely on a map pin alone.

Assign one shuttle captain who is not the planner, couple or photographer. That person should have the driver’s number, rooming list, mobility notes, late-guest protocol and authority to release a bus when the final scheduled passengers are accounted for.

Wind, rain and sound

Wine-country wind should be treated as a design variable. Ask about the venue’s threshold for closing umbrellas, retracting walls, restricting open flame or moving a ceremony. Weight escort cards and menus, secure aisle arrangements, use veil weights when appropriate and give the audio team wind protection for every speaking microphone.

A complete rain plan answers more than “there is an indoor room.” It identifies:

• the exact backup room and whether it is held from contract signing;
• the finished seated capacity with aisle, band, bar and catering space;
• who makes the weather decision and when;
• the labor or rental fee for a late move;
• where cocktail hour takes place during the reset;
• how guests travel between buildings without crossing mud or uncovered paths;
• where wet coats, umbrellas and mobility devices are stored.

For sound, ask for separate rules covering ceremony amplification, cocktail music, outdoor dinner, indoor dancing, subwoofers, live drums, doors and windows, last call and guest gathering after the formal reception. A lodging quiet-hour policy is not a substitute for the event-production rules.

Sunset timing and portrait light

The times below are approximate 2026 apparent sunsets calculated for central Yamhill County at 45.20° N, 123.10° W using NOAA’s solar method. NOAA says calculations at these latitudes are theoretically accurate to approximately one minute, but hills, trees, cloud cover, smoke and the Coast Range can end usable direct light earlier.

For a ceremony in an unfamiliar orientation, schedule its end roughly 60–90 minutes before the calculated sunset when family photographs and couple portraits must both happen afterward. On a summer date with a very late sunset, consider completing family photographs after the ceremony, seating guests for dinner, then stepping out for a shorter portrait session when the light softens.

Ask the venue where the sun physically disappears from each ceremony and portrait location—not just the published astronomical time. A western hill, forest edge or building can remove direct light well before the official sunset.

What I wish I knew

This is a contract-reading checklist, not a claim that Wildwood has stayed at or documented weddings at every property in this guide.

1. “Nine rooms” does not automatically mean 18 guests.

   You need the actual bed type and legal occupancy of every room. The Allison’s 85-unit count is useful, but its whole-hotel guest total cannot be responsibly calculated from the public page.

2. Lodging on the property may not be included in the wedding contract.

   Ask whether you are buying rooms, holding them temporarily, guaranteeing revenue, or merely receiving first access to book them. Each produces a different financial risk.

3. An entire-inn booking is not always a full-property buyout.

   Youngberg’s published entire-inn option controls lodging inventory. It does not publicly promise exclusive use of the event building, tasting room, vineyard or every public area. Foley’s buyout language is broader, but the two private homes still need to be named explicitly.

4. Sunday brunch and 11:00 a.m. checkout compete for the same hour.

   Either move brunch earlier, obtain late checkout, or provide a staffed luggage room. Otherwise, guests will spend the final gathering checking watches and moving bags.

5. Quiet hours are not the same as the event curfew.

   Foley publishes 10:00 p.m. quiet hours for the property, but its separate wedding music and event-end rules are not public. Request both policies rather than inferring one from the other.

6. Normal check-in is usually too late for wedding preparation.

   A 3:00 or 4:00 p.m. key release does not support a midday first look. Reserve the room the prior night or secure a dedicated preparation room with a guaranteed opening time.

7. Adult-only lodging can split families.

   Foley’s two inns require guests to be 21 or older; Abbey Road’s Silo Suites require guests to be 18 or older. Confirm the home policies before assigning parents with children to the estate.

8. “Indoor backup available” is not enough.

   You need to know whether it is held, decorated, heated or cooled, accessible and large enough after the dance floor, catering, bar, music and aisle clearances are included.

9. Parking does not solve transportation.

   Parking answers where cars sit. A shuttle plan answers who drives after wine service, where guests board, how mobility needs are handled and when the last person leaves.

10. Accessibility must be verified as a continuous route.

    An accessible room or parking space is only one segment. Confirm the complete path through preparation, ceremony, cocktails, dinner, restroom access and transportation.

11. Drone approval has two layers.

    The venue or landowner controls permission to take off and land from the property, while the FAA controls airspace and flight rules. A commercial wedding operator flying under Part 107 needs an FAA Remote Pilot Certificate, and current airspace or temporary restrictions should be checked through an FAA-approved service. Airspace authorization does not itself create permission to launch from private property.
