Wedding Scheduler Privacy Notice

1. This notice and your choices

This Scheduler Privacy Notice explains how Wildwood Wedding Films & Photography handles information in the Wedding Scheduler. Contact jd@wildwoodweddingfilms.com with questions. This notice supplements the website's Privacy & Cookie Policy; this scheduler-specific explanation applies to scheduler submissions.

We do not sell scheduler personal information. We do not disclose it to wedding vendors for marketing without your separate permission. The limited service-provider, user-directed export and legal disclosures described below still apply.

2. What is saved, and when

The preview is calculated in your browser. Drafts may remain in this browser until you clear them. Before any final export, we save your submitted schedule on our servers using Google Firebase, together with the name and email you provide to identify the submission and your choices below. Further exports may save updated submissions. Clearing this browser does not delete server records.

Your saved submission includes the fields you choose to provide: couple names, wedding date, locations, times, activity selections, preparation needs, party names, vendor and officiant details, edits and free-text notes. It can include optional tradition information or other sensitive details you choose to enter. Do not include information that the schedule does not need.

We also keep a consent record: the versions and wording presented, your affirmative acceptance, optional permissions, selected vendor categories, submission time and record identifier. Our hosting and security systems may process ordinary technical request information to deliver the service and prevent misuse.

3. Why we use it

We use scheduler submissions to save and support your plan, respond to your requests, operate and secure the service, document your choices and meet applicable legal duties. A service-related reply about your submission is separate from promotional email.

Planning emails and vendor introductions depend on their own optional permissions. We do not use your full timeline, religious or cultural tradition, free-text notes, or other people's contact information for marketing or vendor referrals. Scheduler submissions are not published as sample weddings or added to the public research corpus without a new, specific permission.

4. Optional tradition and other people's information

Tradition is optional and starts at 'Prefer not to answer.' You can adjust ceremony duration yourself. A tradition choice may reveal religious beliefs; notes or custom activities may reveal other sensitive information. Include only details you want saved for planning, and use the separate sensitive-information permission when offered. Those details are used to provide and support your schedule, not to select marketing recipients.

Only include other people's names or contact details with their permission. You may use role labels instead. Do not include children's contact details or unnecessary information about anyone's religion, health or other sensitive circumstances. A person whose information was included may contact us directly about it.

5. Optional planning emails

If you select the planning-email checkbox, Wildwood may use your submitted name and email to send wedding-planning tips and resources. Leaving it unchecked does not affect your schedule or export. We do not infer this permission from accepting the Terms or requesting support.

You can unsubscribe through a marketing email or email jd@wildwoodweddingfilms.com. Withdrawal stops future planning marketing; it does not prevent a necessary response to a request you initiate. We may keep a minimal suppression record so we can respect your choice.

6. Optional vendor introductions by email

If you separately opt in and select vendor categories, Wildwood may email you about those categories and share your name, email address, wedding date and relevant venue or area with potential vendors in those categories so they may email you. Choosing a category alone is not permission. This choice does not authorize marketing calls or text messages.

We do not provide your complete schedule, tradition, notes, party list, or existing vendors' or officiant's contact details for outreach. Vendors receiving an introduction handle the limited information under their own privacy practices. We do not sell your information or exchange it for paid lead-list access.

Email jd@wildwoodweddingfilms.com to withdraw permission for future introductions or change categories. Withdrawal does not undo an introduction already made. We will stop future referrals based on the withdrawn choice; you can also ask a vendor that already received your details to stop emailing you and address its copy of the information.

7. Service providers, exports and legal disclosures

Google Firebase and Google Cloud provide server storage and hosting for the scheduler. Authorized personnel and service providers may access information only as needed to operate, secure or support the service and carry out your instructions. If a service provider helps deliver an email you requested or permitted, it receives only the information needed for that service. This is separate from permission to market on a vendor's own behalf.

Choosing Google Docs export sends the document to Google after its account-permission prompt. The connection requests permission for files created or opened with this app, rather than broad access to your Drive. The access token is used in the browser for export and is not saved in Wildwood's consent record. Google also receives ordinary connection information; its terms and your document-sharing settings apply. Downloaded files and copies you share are under your control.

We may disclose information when required by valid legal process or law, or as legally permitted and reasonably necessary to address fraud or a security incident, protect a person's safety, or establish or defend legal rights. These exceptions do not authorize unrelated marketing. We do not promise that data will never be disclosed under any circumstances.

8. Retention, access and deletion

Saved scheduler records currently have no fixed automatic deletion date. We retain them as needed for schedule support, your chosen permissions, evidence of consent, security and legal obligations. Email jd@wildwoodweddingfilms.com to request access, correction, deletion or withdrawal of an optional permission. Include the email you submitted and, if available, your record identifier; do not send identity documents unless a necessary verification method has been agreed with you.

We may need to verify a request to protect your information. We will address requests within any applicable legal deadline. Some limited records may need to remain for legal obligations, dispute handling, security or to respect an unsubscribe request. We will explain an applicable exception. Deletion from our systems does not remove documents in your Google account, downloaded files or copies you have shared.

Depending on where you live and which laws apply, you may have additional rights, including information about disclosures and an appeal of a denied privacy request. You may send an appeal to the same contact address. This notice does not limit those rights.

9. Security, website preferences and updates

We use access controls and other safeguards appropriate to the service, but no online system can promise perfect security. The scheduler is intended for adults. Please contact us if you believe a child has submitted personal information.

Website analytics and cookie choices are separate from scheduler terms, planning emails and vendor introductions. Use 'Cookie preferences' in the website footer to review those choices, and read the website's Privacy & Cookie Policy for details.

This notice is version 2026-09-09-v1. We will identify material changes and seek any new permission required before using previously collected information for a new purpose. Updating a notice alone does not turn an earlier 'no' into a 'yes.'
